Privacy Policy

This policy explains what personal data VemCampus collects, why, who can see it and what rights you have. It covers vemcampus.com and every institution campus on it (addresses ending in .vemcampus.com).

The data controller is Virtual Minds Hub Enterprise Ltd (registration RC/BDA/2024/A/002), Former Mezam National Hotel Building, beside UBA Bank, Commercial Avenue — Savanna Junction, P.O. Box 4116, Bamenda, Cameroon. Contact: mail@virtualmindshub.com.

1. What we collect

  • Your account. You sign in with Vem-Portal, the single account for every Vem service, operated by the same company. VemCampus holds no password. From Vem-Portal we receive your account identifier, your name, your email address, whether that address is verified, and the institutions you belong to.
  • Your learning. The courses you join, your progress through units, your quiz answers and scores, the assignments you submit and the feedback on them, your course reviews, and the certificates you earn.
  • What you share with others. Your profile, your posts in course discussions, comments on units, private messages and connections with other members.
  • Purchases. VemCampus does not take payments yet. When paid courses open, we will record your orders and the payment provider will process your payment; this policy will be updated first.
  • Server logs. Our server records each request: your IP address, the page requested, the date and time, and your browser’s user-agent string.

2. Why we use it, and on what basis

  • Your account and learning records — to provide the courses you join, track your progress, mark your work and issue your certificates: to perform our agreement with you.
  • Emails about your courses (enrolment, results, certificates, announcements, and a reminder if you have not studied for 10 days) — to support your learning: our legitimate interest. You can switch reminders off in your notification settings.
  • Server logs — to operate and secure the site: our legitimate interest.
  • Records we must keep by law, such as invoices once payments open: legal obligation.

3. Who can see it

  • Your instructors and tutors see your progress, answers, submissions and messages in the courses they teach.
  • Your institution, if you study on its campus, sees who its members are and their progress in its courses.
  • Other learners see your profile name and picture and what you post in discussions.
  • Anyone you give a certificate link to can check it. When certificates are issued through VemCert, the verification page shows your name, the course and the date of completion.

4. Who else processes it

  • Our server. VemCampus runs on our own server in a data centre in Germany. Off-site copies of its backups are stored with Google.
  • Vem-Portal. Our sign-in service, run by us, also in a data centre in Germany.
  • Email. Course emails are sent from our own server. If you write to mail@virtualmindshub.com, that mailbox is provided by Google Workspace.

VemCampus pages load no advertising, analytics or tracking scripts, and no fonts or files from other companies. We do not sell personal data, and we do not share it for advertising.

5. Cookies and browser storage

We use only what the site needs to work: a cookie that keeps you signed in, one that keeps the contents of a shopping cart, and a sign-in token kept in your browser for your learning dashboard. Vem-Portal sets its own sign-in cookies on its own address. None of these is used for advertising or analytics.

6. How long we keep it

  • Your account and learning records: while your account is active. We delete them 2 years after your last activity, or 30 days after you close your account, whichever comes first.
  • Certificate records: permanently, for as long as VemCampus operates, so that anyone you show a certificate to can still check it. You may ask us to withdraw yours.
  • Server logs: 30 days. Server backups: two days of history.
  • Invoices and payment records, once payments open: as long as tax law requires.

7. International transfers

Our servers are in Germany. Google may process backup copies and email outside Germany and outside the European Economic Area, relying on our providers’ safeguards such as the European Commission’s standard contractual clauses. You may ask us which safeguards apply.

8. Your rights

You may ask for a copy of the personal data we hold about you, ask us to correct or delete it, or object to how we use it, as Cameroon’s personal data protection law (Law No. 2024/017) and, where it applies to you, the law of your country allow. Your name and email address are corrected in your Vem-Portal account. For anything else, write to mail@virtualmindshub.com; we answer within 30 days. If you are not satisfied, you may complain to the data protection authority.

9. Security

VemCampus is served only over encrypted connections (HTTPS), it stores no passwords, and administrative access is restricted. No system is perfectly secure; if a breach affects your personal data we will notify you and any regulator as the law requires.

10. Children

VemCampus is for people aged 16 or over. Younger learners may use it only with the consent of a parent or guardian, or through their school’s own campus.

11. Changes

We will publish any change to this policy on this page and update the date at the top. If a change affects how we use data you have already given us, we will also tell you by email.
